Terms and Conditions

All reservations must be guaranteed by valid card details (card type, full card number, expiry date and security code), which will then be charged with a 10% non refundable deposit of the total cost of your stay at point of booking and then be confirmed in writing. The outstanding amount is due upon check-out. If a booking is made within 21 days of arrival, the full amount due will be charged at the point of booking and is non-refundable/ non-amendable. All suites are available after 15.00 (3pm). Earlier arrivals are subject to availability, please check with us at least a few days before your arrival and we will try and accommodate you. If you plan to arrive later than 22.00 (10 pm) we would also appreciate it if you could let us know. Suites should be vacated by 11am. Please be aware that late check out is only possible in accordance with management and charges may be incurred if there is an unauthorised late check out.

We reserve the right to charge for any items that have been inadvertently taken from the room, damages caused or through an oversight which resulted in a charge being excluded on your final bill.

We must comply with certain noise restrictions, licensing and statutory regulations, and we require you to fulfil their obligations in this respect.

All information requested such as dietary/special requirements, etc must be accurately provided by you at least 10 days prior to arrival. Any variation to the number of guests confirmed when making your reservation must be declared either prior to or at the time of booking (we reserve the right to refuse entry where additional guests are not declared & cannot always accommodate extra guests).

We reserve the right to object to the employment by you of any photographer, band, musician, entertainer and other person connected with your stay.

Due to our limited number of rooms, we need to enforce that once checked in an early departure fee of the full amount will be charged if guests check-out 24 hours prior or more to their departure date.

Cancellation

All cancellations must be both confirmed in writing and acknowledged by the hotel in writing. If you do not receive a written acknowledgement from the hotel, please contact us by telephone (+44 (0) 1855 811 179) to confirm that your notice of cancellation has been received. There will be no charge other than the non-refundable deposit if a room is cancelled 21 days before the scheduled day of arrival. Reservation costs will be due in their entirety if a booking is cancelled 21 days or less before the scheduled arrival date. Please note that reservations are also not eligible for any amendment of dates less than 21 days prior to arrival. We earnestly advise all guests to take out holiday or travel insurance in order to protect you against financial loss as we will enforce these cancellations terms due to the limited number of rooms.

Exclusive use

Please note that cancelling an Exclusive Use of Glencoe House has different terms and conditions. To confirm and guarantee your date we will require a non-refundable deposit of the first nights’ accommodation at time of booking with remaining balance due 120 days prior to arrival.

If you decide to cancel within the 120 days of the arrival date, you will be liable to the full cost of the stay.

Changes by you

Should you wish to make any changes you must notify us as soon as possible in writing and Glencoe House reserves the right to object to any changes. Amendment of the dates of any reservation are subject to availability and to the discretion of the hotel management. Reservations cannot be amended on more than two occasions, this is also subject to the discretion of the hotel management. No amendment of reservation dates is possible less than 21 days prior to arrival. With any changes made, there may be costs incurred. Glencoe House also reserves the right to levy charges at the customer’s negligence to inform Glencoe House about any changes to the booking.

Luggage storage

A limited amount of luggage storage is available to resident guests immediately before or after their stay. Please speak to reception staff should this be a requirement.

Special Requirements

Please advise the hotel of any special dietary needs or other requirements such as mobility issues you may have prior to arrival.

Special Requests

Whilst every effort will be made to fulfil any of your requests, unfortunately we cannot guarantee this and a failure to do so will not constitute a breach of contract. Also if we feel unable to properly accommodate the particular needs of persons concerned, we reserve the right to decline the reservation.

Children and additional beds

All suites are designed for a maximum occupancy of either 2 persons (one-bedroom suite) or 4 persons (two-bedroom suite). Please note that the hotel reserves the right to refuse entry to the suite and charge the full amount of the booking if the number of guests arriving to stay exceed those specified in the confirmed booking i.e. if the booking is for 2 people and 3 people arrive to stay in the suite.

Any variation to the number of guests confirmed when making your reservation must be declared either prior to or at the time of booking (we reserve the right to refuse entry where additional guests are not declared & cannot always accommodate extra guests).

Children under the age of two years stay free of charge, a cot can be provided subject to availability. All older children or adults will be charged £95.00 per night per person.
Please be aware that we are unable to add more than one extra bed (or one extra guest) per suite and these supplements are not automatically calculated when booking your stay online. Please contact our reservations department prior to booking if additional beds or an increase of occupancy is required, you need to notify us in writing and we will endeavour to assist.

Third party services

If we assist in any services supplied by a third party (such as bike, boat hire or outdoor activities) we advise you to consult the company’s own terms and conditions after making a booking as we are not liable in case of breach of contract.

Comments

Any comments regarding your stay should be made in the first instance with the duty manager at the time of your stay so that all reasonable efforts can be made to rectify the situation at the time of occurrence. In the unlikely event that you want to complain any verbal notification must be put in writing and handed in as soon as possible. No liability can be accepted if you fail to notify us of the problem according to this procedure.

Pets

Please note that pets are not permitted in the main house. We only have one self-catering Lodge that allows for a maximum of two fully trained adult dogs (large breeds such as Great Danes/Wolfhounds are not permitted, nor can we accommodate puppies).

Parking

There is free parking available at Glencoe House for resident guests.

Non-Smoking

Glencoe House is non-smoking throughout its premises; no smoking is permitted in any of the suites. There is a designated smoking area at the main entrance. In addition, guests with private terraces are permitted to smoke in this area. If we are unable to re-let rooms due to smoking, the full amount will be charged to cover loss of revenue and we will levy a fine for additional cleaning.

Promotions/ Offers

Any promotions or offers that may run over the course of the year are time limited and as such cannot be applied retrospectively to any existing bookings.

Privacy Policy

We will respect your privacy and will maintain information in our secure database to provide you with news about Glencoe House that might be of interest to you. We do not disclose your personal information to any third party without your consent. Please contact us if you have any questions and we will endeavour to answer as soon as possible.

General

A confirmed booking constitutes a legal agreement between the customer and Glencoe House. Please note that these terms and conditions pre-date any previous information given.
